Printing gets into better shape

Fitness First in Australia cuts printing costs by 37 percent while helping staff work more efficiently with a managed print solution

Not only can printers be a significant cost for businesses, they can also determine the overall efficiency of personnel. The truth is printing plays a key role in client interactions, and printer issues can ultimately reduce the level of customer service.

Fitness First in Australia wanted to lower the expenses of its printing and help staff work more effectively. A leader in the fitness industry, Fitness First has 68 clubs across Australia and print solutions in both clubs and offices. The machines are heavily used by staff. Besides employing the devices to print and scan office documents, staff regularly engage the printers to process new memberships with customers.

A costly, decentralized print environment

The problem for Fitness First was that the existing printing solution was inefficient. It consisted of printers from multiple vendors, and many of the machines were aging. With many vendor relationships to manage and disruptions occurring often due to individual clubs maintaining stocks of consumables, the company’s small IT team was struggling to find time for higher priority tasks. Adam Rendulic, Head of IT for Fitness First Australia, says, “We could spend up to eight hours a week on managing and resolving issues with our network of printers. The solution was becoming increasingly costly.”

The move to a managed solution

The company approached Dell, which had a global agreement with Fitness First to provide desktop solutions including the Dell OptiPlex 9020 desktop and Dell Latitude 14 7000 series laptop. Dell introduced Fitness First to SmartPrint Fleet Management, a Dell partner that offers fully managed print services. The initial conversation between the two was a success, and SmartPrint Fleet Management began a ‘discovery phase’ where it collected data on the existing infrastructure to propose a solution to meet the business need.

Staff work more efficiently and deliver better levels of service

Fitness First was able to successfully streamline its printing infrastructure and boost operational efficiency by standardizing on Dell printers provided by SmartPrint Fleet Management. Staff use both Dell Color Multifunction Printer C7765dn and Dell Mono Printer B5460dn models across offices and clubs. Rendulic says, “Staff receive much better support from our print environment delivered as a managed service by SmartPrint Fleet Management. The quality of printing from our Dell printers is fantastic and the solutions are 100 percent reliable. There is no disruption from unreliable printing, and staff can work efficiently, particularly with customers. This achievement allows us to ensure that we are constantly investing in our members.”

Reduced printing costs by 37 percent a year

The company has significantly reduced spend now that the company-wide print environment is delivered as a managed service with onsite servicing and automated toner delivery. In addition, cost management is much simpler. Fitness First receives one bill each month for the consumables, servicing and parts for the entire printing infrastructure. “We gain much greater value with a management printing solution from SmartPrint Fleet Management. We have calculated ongoing annual savings of 37 percent with our switch to Dell and SmartPrint,” comments Rendulic.

Saves IT team up to a day a week answering printer issues

The good news for the IT team is that it has more time to work on higher value projects. Rendulic says the team’s four personnel deliver greater value to the business because they focus on strategic projects such as upgrading the current CCTV system. “We save up to a day week because our Dell printing solution is a managed service,” says Rendulic. Improves sustainability and lowers company carbon footprint

As well as reducing costs, Fitness First has also made printing more sustainable. Features such as doublesided printing lower the amount of paper being consumed by the company. Furthermore, SmartPrint Fleet Management is offsetting carbon emissions through a tree planting program. “The environment is important to us,” says Rendulic. “Our Dell printing solution is helping us become carbon neutral across our sites.”
